How Promotional Product Distributors Can Outsource Artwork Preparation
By Monk Vector Works · October 16, 2026 · 3 min
About the team behind this guideA promotional-products distributor may receive one logo and need to adapt it for pens, garments, bags, labels and engraved items. The repeated work is often not a new design; it is making approved art usable for different suppliers.
Why the same logo needs multiple versions
Decoration methods impose different requirements. A one-color laser mark, screen-printed garment graphic and full-color digital label may each need distinct sizes, line detail or color organization. Avoid assuming one universal master file can be supplied unchanged to every producer.
Build an application checklist
For each item, collect the vendor's artwork template, imprint dimensions, accepted formats, color restrictions, minimum line widths, proof requirements and deadline. Confirm whether the supplier expects vector shapes, transparent raster art or a named spot-color reference.
Identify the reusable tasks
Vector redraw from JPGs, single-color simplification, reverse artwork for dark products, resizing and digital-proof layouts are common candidates for structured external help. Clarify when the request is an actual redesign rather than a production adaptation.
Create one approval record
Store the original customer reference, the reconstructed source, supplier-specific exports and approvals together. Label version and target product so old files do not get reused with the wrong imprint method. Never treat an internal mockup as proof of the supplier's final production outcome.
Start with a repeatable batch
Send several representative products with their specifications and evaluate how consistently an outside partner handles the variations. This reveals whether a recurring arrangement is commercially sensible for the distributor.
Request technical preparation
Monk offers file redraw, artwork cleanup, adaptations and proofs against supplied vendor requirements. We do not manufacture or print the promotional product.
